Terms of Service

Last updated 23 October 2026

These terms govern the use of EmployeeCore, an online service for keeping employee, right-to-work, immigration and sponsor-licence records, provided by Resourcewise Consultancy Ltd (company number 12379597, registered in England and Wales, of 1 Delta Gain, Watford, WD19 5BL, United Kingdom) ("we", "us"). They form a contract between us and the organisation that subscribes ("the Customer"). People who sign in on the Customer's behalf ("Users") must follow them too.

1. The service

We provide EmployeeCore as a hosted service on a website address set up for the Customer, with the features described at https://employeecore.co.uk as they are updated from time to time. We may improve and change the service; we won't remove a core feature the Customer relies on without reasonable notice.

EmployeeCore helps the Customer keep records and see deadlines. It does not give legal or immigration advice, does not carry out right-to-work checks for the Customer, and does not submit anything to the Home Office. The Customer remains responsible for its own legal duties, including checks, reporting on the Sponsor Management System and the decisions it makes.

2. Accounts and security

The Customer decides who gets an account and what role they have, and keeps the list up to date. Users must keep their passwords and authenticator devices secret, must not share accounts, and must tell the Customer's administrator straight away if they think an account has been misused.

We recommend, and the Customer can require, two-step sign-in for every User.

3. Customer data

Everything the Customer and its Users put into EmployeeCore, including employee records and uploaded documents ("Customer Data"), belongs to the Customer. We process Customer Data only to provide the service and as described in our Data Processing Agreement, which forms part of these terms.

The Customer is responsible for having a lawful basis to collect and store Customer Data, for its accuracy, and for answering requests from the people it is about. The Customer can export all Customer Data at any time from Settings.

4. Fees

The Customer pays the fees for its plan as agreed in its order or invoice. Fees are payable in advance, in pounds sterling, within 30 days of invoice, and exclude VAT. If fees are more than 30 days overdue we may suspend access after giving 14 days' written notice. Plan limits (such as the number of employee files and users) are shown in Settings → Plan.

5. Intellectual property and copyright

EmployeeCore, including its software, source code, design, layout, text, graphics, logos and documentation, is owned by Resourcewise Consultancy Ltd and protected by copyright and other intellectual property laws. EmployeeCore™ is a trademark of Resourcewise Consultancy Ltd.

We grant the Customer a non-exclusive, non-transferable right for its Users to use the service for the Customer's internal business purposes during the subscription. The Customer must not copy, modify, sell, sub-license, frame or mirror the service; reverse engineer it or try to extract its source code; remove copyright, trademark or 'powered by' notices; use it to build a competing product; or let anyone outside its organisation use it, except auditors and advisers acting for the Customer.

The Customer keeps all rights in its own name, logo and Customer Data, and lets us display its logo and name within its own site.

6. Availability and support

We aim to keep the service available at all times, apart from planned maintenance (which we try to carry out outside UK business hours) and events beyond our reasonable control. We make a backup of each Customer's database every day and keep the last 14. Support is by email on UK working days.

7. Confidentiality

Each party keeps the other's confidential information confidential and uses it only to perform this contract, except where disclosure is required by law.

8. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, neither party is liable for indirect or consequential loss, or for loss of profit, revenue, goodwill or anticipated savings; and each party's total liability in any 12-month period is limited to the fees paid or payable by the Customer in that period. We are not liable for fines, civil penalties or licence action resulting from the Customer's own checks, reports or decisions.

9. Term and ending

The subscription runs for the period in the Customer's order and renews for the same period unless either party gives 30 days' notice before the end. Either party may end it immediately if the other materially breaches these terms and doesn't fix the breach within 30 days of notice.

When the subscription ends the Customer can export its data for 30 days. After that we delete Customer Data from the live service, and from backups within a further 30 days, unless the law requires us to keep it.

10. General

We may update these terms; we will give the Customer 30 days' notice of material changes. If any part is found unenforceable the rest remains in force. These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.
